š Project Engagement & Scope
All project estimates are created based on your brief and our understanding at the time. Changes in requirements, additional features, or refinements may result in cost and timeline adjustments.
Acceptance of a proposal (via email, verbal confirmation, signing, or deposit payment) signifies full agreement to these terms.
We strongly encourage a detailed discussion before project kickoff to align on expectations.
ā Client Responsibility
Clients must clearly outline project objectives, user flow, and feature requirements.
Incomplete or ambiguous instructions may lead to assumptions. If changes are requested later, they will be billed separately.
Complex or critical requirements must be communicated upfront to ensure accurate budgeting and planning.
š§© Design, Development & Modifications
Our team works within allocated hours as specified in your project proposal.
Minor changes are usually accommodated, but will be evaluated case-by-case.
Any revisions after final design approval or post-live modifications will be chargeable.
ā±ļø Timelines
We adhere to committed timeframes, provided all required content and feedback are shared promptly.
Client-side delays (content, feedback, approvals) may push the schedule and result in additional charges.
Projects inactive for 60+ days without notice will incur a $99/week admin fee.
š„ļø Browser, Device & Compatibility Testing
Websites are tested on modern browsers: Chrome, Firefox, Edge, and Safari (desktop versions).
Mobile responsiveness is ensured on iPhone and iPad devices.
For compatibility with other specific devices or legacy browsers, please notify us in advance.
š Hosting, Domain & Server Responsibility
If the project is hosted on third-party servers (not provided by Noventrix), any related issues or time spent will be billed separately.
Access to hosting and full deployment permissions must be granted for testing and going live.
Hosting and domain renewals are not included unless explicitly quoted. All such services must be renewed at least 7 days before expiry to prevent downtime.
š Licensing, Source Code & CMS Usage
All proprietary code, custom CMS, and digital solutions created by Noventrix IT Solutions remain our intellectual property unless stated otherwise.
Clients receive a non-transferable license to use the software for their own operations.
Our CMS is exclusive and cannot be migrated to external hosting platforms.
Full source code ownership can be purchased separately, post final payment and based on mutually agreed terms.
āļø Third-Party Integrations
Costs for third-party services (payment gateways, SSL certificates, plugins, SEO tools, etc.) are not included in estimates.
While we do our best to vet these tools, we are not responsible for limitations, failures, or future changes by third-party providers.
š¼ Digital Marketing & Strategy Plans
All marketing packages (SEO, PPC, Social Media, etc.) are 6-month minimum commitments, billed monthly.
Tasks are pre-allocated each month. Unused hours do not carry forward.
Urgent or extra tasks are billed separately.
Cancellations must be requested with 30-day written notice after the 6-month term.
š Website Maintenance Packages
Minimum duration: 12 months, billed monthly.
Packages include hosting, updates, security scans, and basic changes.
Major redesigns or new features are not included.
Support is logged in 15-minute blocks, and extra hours are charged @ $77/hour.
Fair usage is practiced; flexibility may be extended within reason.
Cancellations must be emailed at least 1 month before annual renewal. Early termination requires full payment of the remaining term.
š³ Payments, Refunds & Billing Policy
All prices are in AUD and include GST unless stated otherwise.
Payment is required in advance unless a milestone-based plan is agreed upon.
Final payment is required before making any project live or releasing files.
If canceled before work begins: 75% refund.
If canceled after work has started: up to 50% refund.
No refund once 50%+ of the work is completed.
All cancellations must be in writing via email.
ā ļø Late Payment Policy
Late invoices attract a 10% penalty + $5.50/month admin charge.
After 14 days past due, collections will be initiated.
All recovery costs will be charged to the client.
ā ļø Liability, Security & Indemnity
Noventrix IT Solutions provides services āas-is,ā with no liability for external damages including data loss, sales, or reputation impacts.
Clients must back up their data regularly and keep their CMS/plugins updated.
We are not liable for security issues caused by outdated plugins or third-party scripts.
Client agrees to indemnify Noventrix IT Solutions and our team against all legal claims resulting from breaches of these terms.
š§ Communication & Support
All project communications are handled via official email only.
Clients are responsible for keeping their contact details and billing info up to date.

š Hosting, Email & Domain Specifics
Hosting and domain services are non-refundable once renewed.
Hosting is offered via trusted third-party providers and may be shared or dedicated.
Any hosting cancellation must be requested at least 30 days prior to renewal.
Email accounts must be regularly cleared to avoid storage issues.
š Intellectual Property & Copyright
All design, code, and creative assets remain the intellectual property of Noventrix IT Solutions unless transferred after full payment.
Reselling, copying, or commercial reuse of code is strictly prohibited.
Use of our company name, logo, or brand assets without written permission is not permitted.
